Brex offers you many tools to add and manage team members to your account. This starts with the different options you have to invite any number of users, ranging from a single employee to an entire team. Once invited, you have many tools at your disposal to manage your team, from overseeing their spend to exporting data about anyone on your account.

Inviting users

There are three different ways for account or card admins to add users to their Brex account. You can use any of the following methods at any time, and switch between them as you see fit. The instructions for each invitation flow can be found in this help article.

Email (single invite)

Account or card admins can send an invitation to a single employee by email to help set up core users on the account. If you only have a handful of users that you’d like to invite to your Brex account, you may want to use this method.

If you’re using Brex’s HRIS Integration, you can use it to manage single-invite users. For this to work, you’ll want to make sure their Brex sign-in email matches their HRIS work email and that they’re listed as a full-time employee within the HRIS. Otherwise, the user will need to be managed manually from the Brex dashboard.

When inviting a new user to your account, you can select their manager, location, department, role, and limit.

HRIS integration

Admins can use Brex’s HRIS Integration to manually or automatically invite users to their Brex accounts. This option is best suited for those that have a large group of full-time employees established in HRIS and want to invite them all to their Brex account. By doing so, account or card admins will still be able to manage details through their HRIS.

Brex will sync the user’s first name, last name, email, title, and manager on a daily basis.

CSV upload

Admins can also invite users via CSV upload if they have yet to integrate HRIS or do not integrate with HRIS at all.

You can manage users who were invited through the bulk CSV upload via HRIS, as long as their Brex email matches the work email from the HRIS and they’re listed as a full-time employee within the HRIS. Otherwise, user details will need to be managed manually from the Brex dashboard.

Requesting cards for users

Account or card admins can request a physical Brex card on behalf of activated users by following the steps below. Once the steps have been completed, the user will receive an email prompt to fill out their shipping details. The physical card will only be issued after the user has provided their shipping address.

Note: This process will only work if the user has already accepted their invitation to use Brex and does not already have a physical card.

Step 1: Under Team, search for the cardholder using the search bar and click their name.

Step 2: Next to the Cards section in the user details on the right, click the three dots and select Add physical card.

Step 3: Click Confirm and the user will receive an email asking them for their shipping address.

This option is best suited for those that have a large group of full-time employees established in HRIS and want to invite them all to their Brex account. By doing so, admins will still be able to manage details through their HRIS.

Brex will sync the user’s first name, last name, email, title, and manager on a daily basis.

Inviting your user

Once you’ve added a user to the dashboard via HRIS or CSV, you can invite them to Brex. After clicking on the link in their invitation email, they’ll be asked to create a password and will be guided through the account activation workflow.
