Overview

Our partnership with Zip integrates Brex cards with Zip's procurement and intake software. With Brex for Zip, you can create a new virtual card to pay for purchases directly within your Zip workflow. Brex for Zip streamlines the procurement process, maximizing rewards and reconciling faster.

To utilize this integration, you will need an active Brex and Zip account. If you are not a Brex customer yet, please see this article for more information on getting started.


Getting started

As a Zip admin, you can get started with Brex for Zip by following the steps below:

Step 1: In your Zip dashboard, click Settings > Company Settings. Select Virtual cards in the left navigation pane.

Step 2: Next to Brex virtual card, click Set up > Connect your existing Brex account.

Step 3: Log into your Brex dashboard to complete the setup.

Step 4: Once set up, proceed to map your subsidiary in Zip to your Brex account. Click Map Subsidiaries > Add all your subsidiaries, and select the corresponding Brex legal entity for your Zip subsidiaries. Toggle on Activate to allow cards to be created for each subsidiary, and click Save.


Viewing and using your Brex card in Zip

As an employee requesting procurement spend, you can request a Brex card by following your existing Zip workflows.

Admins can approve any open request for a virtual card by editing the Payment Method on the request. To learn more about optimizing your implementation, contact your Zip representative.

Once the card is approved, navigate to your Virtual Card tab to view the card details in Zip, or click View card in Brex. Within your Brex dashboard, you will see the same card information in your Wallet, as well as any transactions made with the card.

In your Wallet, you will also be able to manage expenses made with the new card within your Brex dashboard, including uploading receipts, and view accounting information mapped from Zip. To manage the associated limit, follow the steps in this article.


Disconnecting the integration

Please contact your Brex representative for support in disconnecting the integration.


Reconciliation

When using Brex for Zip, all cards that are created are linked back to the Zip request. Accounting fields such as entity, department, and GL code are synced from Zip over to Brex.

In Brex, you can set up accounting automations to map the Zip fields over to your ERP fields following the steps below:

Step 1: Click on Accounting > Automation > Create Mapping.

Step 2: Navigate to the Zip field and the ERP field, and enable the Automatically accept all future exact name match suggestions feature.
