Fullsteam’s frequent acquisitions mean its financial processes have to scale fast. “Given our business model, we're multiple entities in one,” said Denise Orsborn, Chief Accounting Officer at Fullsteam. “Each business we bring on has its own systems and ways of doing things. Our priority was to unify these processes efficiently without slowing anyone down.”
Previous travel and expense platforms offered limited automation, slow reimbursements, and fragmented user experiences. Fullsteam’s AP team had to manually review each expense to ensure compliance. At the same time, integrations with accounting software were unreliable and required constant troubleshooting. “Our rapid growth demands a system where our team can focus on strategic initiatives instead of routine manual tasks,” Denise explained.

Every Fullsteam employee gets access to Brex for travel and reimbursements, and can easily request Brex cards through the Brex portal. Recurring spend is automated with custom rules and workflows, which allows Fullsteam to specifically identify which spend requires a receipt and memo. Fullsteam uses Brex rules and custom workflows to automate the accounting into NetSuite. “We love that Brex’s NetSuite integration posts as an advanced company journal entry,” Karmen said. “And it just works.”

“Consolidating funding to pay all our expenses simplifies a lot, and we can still track entity-level spend in NetSuite,” said Karmen. “It’s made the month-end process much smoother.”
