Challenges

Unifying finance across a growing network of businesses

Fullsteam’s frequent acquisitions mean its financial processes have to scale fast. “Given our business model, we're multiple entities in one,” said Denise Orsborn, Chief Accounting Officer at Fullsteam. “Each business we bring on has its own systems and ways of doing things. Our priority was to unify these processes efficiently without slowing anyone down.”

Previous travel and expense platforms offered limited automation, slow reimbursements, and fragmented user experiences. Fullsteam’s AP team had to manually review each expense to ensure compliance. At the same time, integrations with accounting software were unreliable and required constant troubleshooting. “Our rapid growth demands a system where our team can focus on strategic initiatives instead of routine manual tasks,” Denise explained.

“As Fullsteam continued to grow through acquisitions, we needed a platform that could scale with us,” said Lyndsey Leatherman, Manager of Accounts Payable. “Bringing new companies on board happens quickly, so automation isn’t just helpful, it’s essential. Our goal was to centralize recurring subscriptions, travel, and expenses to streamline expense management, reducing the manual follow-ups and keeping operations moving smoothly.”

One scalable platform for cards, travel, expenses, and accounting automation

Fullsteam centralized its corporate cards, reimbursements, travel, expense management, and multi-entity accounting on Brex. “We chose Brex because everything lives in one place, and it scales with us,” Karmen said.

Every Fullsteam employee gets access to Brex for travel and reimbursements, and can easily request Brex cards through the Brex portal. Recurring spend is automated with custom rules and workflows, which allows Fullsteam to specifically identify which spend requires a receipt and memo. Fullsteam uses Brex rules and custom workflows to automate the accounting into NetSuite. “We love that Brex’s NetSuite integration posts as an advanced company journal entry,” Karmen said. “And it just works.”

Impact

45% less time on expense processing, granular spend tracking, and streamlined payments

With Brex, Fullsteam’s finance operations can scale with its multi-entity model. Clear spend limits and p-cards bring control without friction, travel expenses and reimbursements flow neatly, and Brex AI and automation simplify how Fullsteam manages finances across multiple entities.

Expense processing time has decreased by 45%, and the average time to submit and approve expenses has dropped from 11 days to 6. Automation and AI-driven policy checks reduce the need for manual follow-ups, enabling the AP to continue prioritizing strategic initiatives. With Brex, Fullsteam avoided adding additional headcount that would have been needed to support growth.

Employees have embraced the integrated travel and expense experience. Receipts can be submitted on the go via the mobile app, and managers can review complete trips in a single dashboard. Multi-entity billing consolidates subsidiaries into a single monthly statement while still tracking detailed company-level spend, simplifying reconciliation, and accelerating the close.

“Consolidating funding to pay all our expenses simplifies a lot, and we can still track entity-level spend in NetSuite,” said Karmen. “It’s made the month-end process much smoother.”

Additional features such as VAT tracking for Canadian employees and Brex’s SCIM integration further reduce administrative work by automatically managing spend limits and keeping org charts in sync. Brex’s card rebates also deliver measurable financial upside, adding value directly to the business.
