Updated Expenses table downloads
Overview
We’ve updated the download experience across the Expenses, Team, and Vendor tables - giving you more control and flexibility over your data. You can now customize, save, and download views that match your specific reporting needs.
We understand that you might have built workflows, potentially for reporting or accounting purposes, using the previous Expenses download format (like Excel macros for formatting and processing). This article will walk you through what's changed and how to easily migrate your existing workflows to the new experience. To access your legacy Expenses download, please follow the steps below in "Accessing your legacy download file".
Key new features
What you see is what you download
Previously, the Expenses download included 70+ columns, many of which were not visible in the dashboard and couldn’t be modified or removed. This led to confusing downloads and extra downstream work in external tools to prepare your data as desired.
Now, your download reflects exactly what’s visible in your configured table view.

Column configuration
The new column selector experience makes it easier for you to tailor your table view and downloads:
- You can see all available columns in the new Table settings (gear icon) which features all fields that were previously available only in the legacy Expenses download
- Use the built-in search to quickly locate specific fields
- You can add or remove columns based on what’s relevant to your workflow
- Reorder columns with drag-and-drop
- Pin frequently used columns for easy access
Saved views
Introduced in our Spring release, saved views enable the preservation of your customized table layouts for subsequent use.
Once your Expenses table is configured with columns, their order, and filters set - you can save it as a named view by following the steps in this article. This enables you to quickly access your preferred layout without the need for repetitive re-configuration, which is beneficial for recurring downloads or reviews.
Column name updates
To improve clarity and consistency, a subset of column names from the previous Expenses download have been renamed in the new download experience.
If you’ve built accounting workflows based on the original column names, we recommend updating them to reflect the new names listed below:

Note: Some of these “new” names simply reflect what is already in the dashboard today, but had a different name in the legacy download.
Accounting column updates
All accounting-related columns available in the Expense table settings (gear icon) reflect the accounting fields in your Fields library. Fields that previously began with "Integration" are now labeled with "ERP" to better reflect their function.

Accessing your legacy download file
If you want to recreate your legacy download while taking advantage of the new customizable features, please follow the steps below:
- Step 1: Navigate to Expenses.
- Step 2: Click the gear icon (table settings) located to the right of the local search bar.
- Step 3: Select all columns essential to your existing workflow. Every column from the legacy download is available and searchable here.
- Step 4: Drag to arrange the columns in your preferred order.
- Step 5: Close the gear icon (table settings).
- Step 6: If desired, save this configuration for future convenience by clicking Save view > Save as new view
- Step 7: Click Download; your file will precisely match the data displayed in the table.
Alternatively, to access the original legacy Expenses download file, you can select Legacy format in the Download panel.
