Overview

Expensify is one of the enterprise resource planning (ERP) softwares that integrates with Brex so you can export your team’s expenses from one platform to the other. With the direct connection, you’ll have the power to map Brex data to your Expensify fields so you don’t have more sorting to do after the export.


Set up the integration

The Brex integration with Expensify will automatically pull your transactions from Brex, giving you control and flexibility, and reducing manual effort. However, receipts will still need to be uploaded through the Expensify app or website. Step 1: Make sure you meet these set up requirements:

  • You’re an Expensify customer with a Control plan (see Expensify pricing).
  • You have Domain Control turned on in order to assign cards to specific users (see Expensify Domain Control).
  • You have disabled all other Brex ERP integrations (QuickBooks, Xero, or NetSuite) to prevent duplicates in your ERP.

Step 2: If this is the first integration you are setting up with Brex, skip to Step 3. If you're currently using another integration with Brex, please read this help article. Step 3: Sign in to the Expensify homepage and sign in to your account. Note: You must have administrative controls to set up the integration. Step 4: Click on Settings > Domain Control > Your company's domain.If this doesn't exist, please add it through the option on the top right that says New Domain. Step 5: Go to Company Cards in the left column. Click Import Card/Bank and search for Brex.

When you select Brex, you'll be redirected to sign in to the Brex dashboard so that you can approve the integration. Step 6: After you're redirected, the card that appears under the Imported Cards section should say Brex. If you previously used another card, click the dropdown shown in the screenshot below to update it to Brex.

Step 7: Click Assign a Card to start assigning cards to each user. Note: Only the Brex cards with cleared transactions in the last five days will appear as an option on the cards dropdown. Within 24 hours of setting this up, transactions from the last 60 days will start exporting to Expensify. If you'd like to set an "export from" date so that previous transactions do not export (i.e. if you were using our previous Expensify integration), you can set the Transaction Start Date as today's date. Transactions will automatically export into a cardholder's open report if they meet the criteria of the report. If there’s no open report, they’ll show up in the Unreported expenses section instead. If you don't want your company's cardholders to receive an SMS from Brex prompting them to upload a receipt, sign in to Brex and go to Company settings > Notifications and toggle off SMS notifications. For a cardholder to add receipts to Expensify, they’ll need to be uploaded through the Expensify app or website directly. Note: Brex doesn’t import transactions from any other FI/ERP


Export receipts

When transactions are synced automatically to your Expensify account, they will include the transaction memo, but not the transaction receipt. To attach receipts to your Brex transactions on Expensify, please use the SmartScan tool. The Expensify Classroom has more information.


Export trouble

If you don't see your Brex transactions in Expensify within 24 hours of assigning your cards, please try the troubleshooting steps below. Step 1: Check to see that your domain control is turned on to ensure that you, as the domain admin, are able to assign cards to users. Step 2: Confirm that the card you are looking for has been used by the cardholder in the last week. Cards will only be able to be automatically imported if there are cleared transactions within the last five days. Step 3: If the card hasn't been active within the last five days, you can manually update the cards through Expensify (see Expensify documentation on how to assign cards). Step 4: If you're seeing cards (and they are assigned) and transactions are not syncing, please sign in to your Expensify account again, wait overnight, or manually update the cards in order to import transactions. Note: Transactions won't sync immediately after assignment and can take up to 24 hours to appear in Expensify. If you're still having issues, please contact Expensify by emailing concierge@expensify.com or send them an in-app message from the Help and Feedback section of the Expensify website (start by clicking on your user icon). Note: Expensify responds to all customer questions as soon as they're able and in the order in which they were received. Here are the best guidelines to follow to help you get the best and fastest support from Expensify:

  • If you're emailing, write to them from the email address associated with your Expensify account so they can easily look up your account.
  • Ask clear and specific questions, as well as provide specific examples (e.g., email addresses of affected users, report IDs, etc.). Since this is not a live chat, this will help Expensify research your issue faster and allow them to speak to any other teams that may be necessary to troubleshoot with you.
  • Finally, understand that the Expensify team is trying to do its very best to help, so please be courteous, respectful, and patient.
