VAT IT integration
Overview
If you use VAT IT for VAT compliance and reclaim, you can connect your Brex account to VAT IT to automatically share expense data, so you don’t have to export spreadsheets or manually send receipts.
With this integration, Brex shares expense data one way (from Brex to VAT IT) through Brex external APIs. VAT IT then reviews receipt tax compliance, determines reclaimability, and produces transaction-level VAT reclaim reporting you can submit to tax authorities and record in your ERP. This is especially useful for companies that need both domestic and foreign VAT reclaim support beyond Brex’s native VAT tracking.
Before you start
Confirm access and permissions: To create an API token in Brex, you must be an Account admin, Card admin, or Bookkeeper.
Accept the Brex Developer Agreement: You must accept the Brex Developer Agreement in Settings > Developer before you can create API tokens.
Understand what data is shared: When you connect Brex to VAT IT, VAT IT can access the expense data allowed by the token scopes you grant.
Note: Your use of VAT IT is governed by your agreement with VAT IT, and any data you share with VAT IT is subject to VAT IT’s privacy policy and terms.
Connect Brex to VAT IT
Creating a Brex user API token
Step 1: In your Brex dashboard, go to Settings > Developer.
Step 2: Click ‘API tokens’, and select ‘Create token’.
Step 3: Name the token (for example, VAT IT integration), and set the permissions according to your company policy. For most customers, VAT IT only needs read-only access.
Step 4: Under ‘Scopes’, select ‘Read only’ for the following (as applicable to your setup):
- Expenses – Card expenses
- Fields – Custom fields
- Fields – Custom field values
- Payments – Transfers
- Payments – Vendors
- Team – Cards
- Team – Companies
- Team – Departments
- Team – Legal entities
- Team – Locations
- Team – Users
- Transactions – Card accounts
- Transactions – Card transactions
- Travel – Trips
Step 5: Click ‘Create token’.
Step 6: When prompted, consent to providing VAT IT access by clicking ‘Allow access’.
Step 7: Copy the token value and store it somewhere secure.
Note: Treat API tokens like passwords. Anyone with the token can access data allowed by its permissions.
Sharing the token with VAT IT
Step 1: Share the token securely with your VAT IT account manager.
Step 2: VAT IT will use the token to connect to Brex and begin syncing eligible expense data to VAT IT automatically.
What happens next
- The sync runs automatically after setup (no recurring exports required).
- VAT IT reviews receipts and compliance, determines reclaimability, and generates reclaim reporting for your use.
Managing and revoking the connection
If you need to stop sharing data with VAT IT, revoke the token you created.
Step 1: In your Brex dashboard, go to Settings > Developer.
Step 2: Click ‘API tokens’.
Step 3: Select the token you created for VAT IT.
Step 4: Revoke the VAT IT token in Brex.
Note: Revoking the token stops VAT IT from pulling any new data from Brex using that token.
