# Canva unifies T&E, procurement, and spend in 190 countries with Brex, Zip, and Navan.

### Challenges

Fragmented tools, growing admin overhead, and unpredictable spend

As Canva scaled rapidly across the globe, its previous finance infrastructure struggled to keep pace. Every team or region had its own card program, and processes like travel booking, vendor procurement, and expense management lived in separate systems. “We had at least 10 different card programs," said Rudy Batts, Head of Global Spend at Canva. "Each card program did a different thing for a different group in different ways. And from an accounting perspective, that was very difficult to manage."

Reconciliation was manual and inconsistent. Some books would sync and close quickly; others dragged on for days. The lack of predictability made it nearly impossible for Batts's team to run a clean, efficient close cycle. A major roadblock was that Canva's previous card solutions offered limited currency options, creating significant friction for a company operating in more than 190 countries.

Nowhere was the cost of this fragmentation more visible than at Canva Create, their annual flagship event. Coordinating travel for hundreds of global employees meant manually wrangling bookings, tracking flights, and chasing down expenses across platforms that didn't talk to each other. With vendor procurement running through a separate system, the administrative burden cascaded down to the marketers, experiential leads, and event producers who were supposed to be focused on execution.

"You're wrapping a big project, you get home, and you have a pile of receipts and expenses to go through — logging them, photographing them, cataloging them," said Jimmy Knowles, Global Head of Experiential Marketing. "That friction takes you away from the deep creative process."

For the finance team, the absence of a connected expense workflow meant no consistent way to ensure employees booked travel within policy, no centralized visibility into who was spending what, and no reliable mechanism to reduce the flood of post-event reimbursements that inevitably followed.

### Solution

Global T&E, invoices, and employee spend on one card program

Canva selected Brex as the foundation of a unified spend platform, consolidating all card spend under one roof and embedding Brex cards directly into both Navan for travel and Zip for vendor procurement. Rather than requiring Canva to overhaul its toolstack, Brex integrated into the third-party workflows Canva already used. "Brex feeds into our existing processes, our existing systems," Batts explained. "Some teams need virtual cards, others use physical ones. We didn't have to conform to a technology. Brex adapted to us."

Today, Canva employees around the world can transact with physical or virtual cards in [over 30 currencies](https://www.brex.com/https://www.brex.com/product/global) — a significant upgrade from a setup previously limited to three. "Local card, local currency — that's what it's all about," Batts said. "And Brex gets us there the fastest."



**BrexPay for Navan: travel and expenses in a single flow**

The [embedded integration between Brex and Navan](https://www.brex.com/https://www.brex.com/brexpay) was central to managing the travel complexity of Canva Create. Sandy Cozy, Administrative Business Partner to the CFO, used a Navan group booking link to route all 600 traveling employees through a single flow, where policies were automatically enforced across Navan’s site and Brex cards, ensuring everyone booked on the correct dates, within budget, and into the right airport. Payment was handled automatically within the same system. No separate card lookup, no manual reconciliation.

"From a traveler's perspective, you just go into Navan, book what you need, and the Brex card is already loaded at the checkout screen," Cozy said. "BrexPay for Navan is really straightforward and fast, with budget controls built in so I have complete peace of mind." The integration also ensured that when last-minute changes came up on the ground, everything stayed visible and connected. "We could make updates right in the moment, because no one had to deal with separate systems or extra steps to fix things." she added.

For Kate Marsden, Head of Global Brand Partnerships, Sponsorships & Design School, BrexPay for Navan made the post-event expense process nearly effortless. **Brex for Zip: eliminating vendor onboarding friction**

On the procurement side, Canva is implementing [Brex’s direct integration with Zip](https://www.brex.com/https://www.brex.com/brex-for-zip-procurement) that allows employees to request a purchase and, once approved, receive a virtual card instantly inside Zip’s platform. For a company managing vendor relationships across hundreds of event partners, production agencies, and suppliers, that speed of issuing spend at the moment of need, instead of days later, is a meaningful operational improvement.

"The Brex for Zip solution is a major unlock," said Batts. "Our users will go into a simple system, ask to buy something, and be empowered immediately with a virtual card that enables them to get what they need. The future is automation, and Brex for Zip is that future."

On the ground at Canva Create, teams were empowered to operate much faster with their Brex cards. The events team made in-the-moment vendor decisions, emergency purchases, and adapted to on-site changes. "Whether it was making last-minute or late-night purchases, Brex cards gave us the flexibility to adapt and make quick changes," Knowles said. "Brex has empowered our entire team to move faster without sacrificing any controls."

Faster accounting, frictionless expenses, and a team focused on what matters

With global spend consolidated under Brex, Canva's finance team has moved from a fragmented, multi-system reconciliation process to a single predictable close cycle for Batts’s team. "Removing 10+ card programs greatly simplifies our close process. As we went live with Brex in Zip, we removed the last of our manual ERP syncs."

For the teams executing Canva Create, the impact was just as tangible. "In the past, booking wasn't as seamless, tracking receipts was manual, hundreds of people submitted expenses afterward, and it created a lot of busywork.” Cozy said on behalf of her T&E team.
