What You’ll do
As the Benefits Program Manager, you will lead our first specialty area within People Operations, focusing on administering our global benefits program, identifying opportunity areas to strengthen our benefits offerings across our global employee population, managing and ensuring compliance with federal, state, and local reporting requirements, and upholding our high standards to employee experience by acting as the primary employee contact for all benefit related issues and questions. Additionally, you will play an integral role in managing our Leaves program and the various benefit vendors we partner with across the organization.

Responsibilities:
Global Benefits Program Design & Administration:

  • Using your knowledge of competitive benefit offerings, review our existing health and well-being benefits and identify and evaluate strategic opportunities to further enhance our benefits offerings for our US and global populations
  • Develop and roll out new benefit programs and evaluate new vendors
  • Administer our current global health and well-being benefits; monitor benefit program costs and recommend cost containment strategies, including moving to self-funded plans
  • Drive the annual benefits renewal process and strategy planning; lead Open Enrollment and Benefits Renewal efforts annually
  • Act as the Benefits SME and partner with IT when configuring new benefits and rules in our HRIS (Workday)
  • Partner with other teams (e.g., Onboarding, Communications) to build out benefits communications and content; lead employee benefit presentations and enrollments
  • Partner with Payroll to ensure accuracy of benefit deductions
  • Respond to general benefit inquiries from employees and escalate to outside vendor for resolution, as needed

Compliance & Regulatory Requirements:

  • Oversee compliance and reporting requirements across all benefits
  • Ensure all benefit plan compliance requirements are met and all required filings and notices are completed in a timely manner (e.g., ACA filing)
  • Partner with outside vendors, as needed, to fulfill compliance and reporting requirements

Leaves Management:

  • Oversee all types of leaves offered by Brex; identify opportunities to review and enhance existing leave policies and draft new policies (as needed)
  • Partner with outside Leaves Management vendor to initiate, manage, and track all leaves
  • Partner with Payroll to ensure leaves status is reflected accordingly

Vendor Management:

  • Oversee various vendors and partners for benefits and perks offered across our global population
  • Ensure automatic and manual file feeds are completed in a timely manner and delivered successfully to vendors
  • On a regular basis, reconcile reports received from vendors to ensure enrollments match between our HRIS and vendor systems
  • Support benefits audit cycles in partnership with Payroll and External Auditor
  • Identify opportunities to better streamline and manage the benefits vendor management process
  • Identify and oversee setup of new vendors for new benefit offerings

Requirements 

  • Excellent understanding of benefit plans and best practices
  • Strong knowledge of compliance requirements, including FMLA, ACA, ADA, and federal and state laws regarding benefits (e.g., COBRA, HIPAA, etc.)
  • 5+ years of increasingly responsible experience in the design, development, and implementation of benefit programs
  • Strong interpersonal and communication skills and the ability to work effectively with all levels of employees and management; ability to maintain professional and approachable demeanor and act with discretion to effectively handle sensitive / confidential employee inquiries and maintain credible rapport
  • Exceptional attention to detail and time management skills
  • Thorough and fantastic organizational skills, with the ability to prioritize and manage multiple tasks / projects concurrently (both planned and unplanned)
  • Experience with global benefits preferred
  • Experience implementing / managing self-funded benefit plans
  • Proficiency with Excel / Google Sheets

Bonus Points

  • Experience with Workday
  • Experience with implementing and managing self-funded benefit plans
  • Deep knowledge of Google Suite; advanced Excel / Google Sheets skills (e.g., if/then statements, VLOOKUP’s, pivot tables, formulas)
